RideAble Now CIC (“RideAble Now”, “RN”, “we”, “us”) respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what we collect, how we use it, who we share it with, and the rights you have.

This Privacy Policy applies when you:

  • use our website,

  • join or manage RideAble Now membership,

  • enter Promotions (including Monthly MTB Kit Giveaways and Factory Builds prize draws),

  • apply to the RideAble Now Access Fund,

  • contact us, or interact with us via email or social media.

2) The personal data we collect

We collect personal data that you provide directly, plus some data collected automatically when you use our website.

2.1 Data you provide to us

Depending on what you do, we may collect:

  • Identity and contact details: name, email address, phone number, postal address, country of residence, region (for example county or state).

  • Membership details: membership status, start date, renewal and cancellation status.

  • Payment information: we do not store full card details ourselves. Payments are handled by our payment provider, but we may receive payment confirmations, transaction references, and billing details needed for accounting.

  • Promotion entry details: which Promotion you entered, entry route used (member, free online, postal), entry timestamps, and entry references.

  • Verification information: proof of age and identity, proof of address, and other reasonable checks to confirm eligibility and prevent fraud.

  • Communications: emails, messages, support requests and feedback you send us.

  • Access Fund information: application forms and supporting information you submit, which may include personal circumstances and information relevant to assessing your application.

2.2 Data we collect automatically

When you use our website, we may collect:

  • Technical data: IP address, browser type and version, device type, operating system.

  • Usage data: pages visited, actions taken, links clicked, time on page.

  • Cookie data: as described in Section 11.

3) Special category data

“Special category data” includes health information and similar sensitive data.

We do not normally need special category data. However, if you apply to the Access Fund, you may choose to share information about disability, medical needs, or other sensitive circumstances. If you provide that information, we will only use it for assessing and administering the Access Fund, and we will handle it carefully.

4) How we use your data and our lawful bases

UK data protection law requires us to have a lawful basis to use your personal data. The lawful bases we rely on are:

  • Contract: where it is necessary to provide membership, run Promotions you enter, or provide services you request.

4.1 Membership

  • create and manage your membership account,

  • process payments and renewals,

  • provide member benefits (discount codes and member communications),

  • provide one entry into applicable Promotions when you have an active membership.

Lawful basis: contract, legal obligation, legitimate interests.

4.2 Promotions (Monthly MTB Kit Giveaways and Factory Builds)

We use your data to:

  • accept and record entries, including free online and postal entries,

  • enforce the “one entry per person per Promotion” rule,

  • verify eligibility (age, residency, prohibited persons checks),

  • contact winners and arrange delivery to a UK address,

  • keep reasonable records to demonstrate that valid awards took place,

  • prevent and investigate fraud, duplicate entries, and automated entries.

Lawful basis: contract (administering the Promotion you entered), legitimate interests (fairness, fraud prevention, audit trail), legal obligation (where applicable).

Canadian skill-testing question: if a potential winner is a Canadian resident, we use your data to administer that verification step before confirming the winner.

4.3 Access Fund applications

We use your data to:

  • receive and assess Access Fund applications,

  • contact you for more information,

  • make decisions and administer grants,

  • keep records for transparency and reporting.

Lawful basis: legitimate interests, and where you provide sensitive information, we will treat that as provided voluntarily for this purpose and use it only for administration of the Access Fund.

4.4 Customer support and communications

We use your data to:

  • respond to enquiries,

  • provide support,

  • keep a record of conversations for quality and continuity.

Lawful basis: legitimate interests, and contract where relevant.

4.5 Website improvement, security and analytics

We use data to:

  • keep our website secure,

  • monitor performance and improve the user experience,

  • measure how visitors use our site.

Lawful basis: legitimate interests, and consent for certain cookies (see Section 11).

4.6 Marketing

If you opt in, we may send you:

  • RideAble Now news and content updates,

  • member updates,

  • Promotion alerts and announcements,

  • brand partner discount code updates (for members).

Lawful basis: consent. You can opt out at any time using the unsubscribe link or by emailing us.

Important: messages necessary to run your membership, confirm entries, or notify winners are service messages and are not marketing.

5) Winner publicity and winners lists

To show that Promotions are run fairly, we may publish or make available limited winner information, for example surname and region (such as county, state, or province).

If a winner objects to publication, they can contact us. We will consider the request and may reduce what we publish, but we may still need to provide information to a regulator or authority on request.

6) Who we share your data with

We may share your data with trusted service providers who help us run RideAble Now. These may include:

  • website hosting and platform providers,

  • membership and account platform providers,

  • payment processors,

  • email and messaging providers,

  • analytics providers,

  • competition administration or random draw tools (if used),

  • couriers and fulfilment partners (for UK delivery),

  • professional advisers (accountants, legal advisers) when necessary.

We only share what is needed for the relevant purpose and we expect providers to protect your data.

We may also share data if required by law, or to protect our rights, users, and the integrity of Promotions.

7) International transfers

RideAble Now is based in the UK. If you enter a Promotion from outside the UK, your data will still be processed in the UK.

Some of our service providers may store or process data outside the UK. Where international transfers occur, we use appropriate safeguards, such as UK adequacy regulations or approved contractual protections.

8) How long we keep your data

We keep personal data only for as long as necessary for the purposes described in this Privacy Policy.

Typical retention periods:

  • Membership records: for the duration of membership and a reasonable period afterwards for administration and dispute handling.

  • Payment and accounting records: as required by law.

  • Promotion entry records: long enough to administer draws, handle winner verification, deal with disputes, and demonstrate that awards took place.

  • Access Fund applications: long enough to assess applications and maintain impact reporting and audit trails.

If you ask us to delete your data, we will do so where possible, but we may retain some data where we have a lawful reason to keep it (for example legal or accounting requirements, or fraud prevention records).

RideAble Now Promotions are intended for adults. You must be 18 or over to enter Promotions.
